Now that you’ve seen the feature list, let’s break down how each capability impacts real-world Call Management.

Voice Recognition

When customers call in, the last thing they want is to repeat themselves three times before reaching the right person. Nextiva’s speech recognition picks up natural speech and handles routing on its own — no number-pressing required. It speeds things up for the caller and takes some of the load off your team at the same time.

Vanity Numbers

Some phone numbers just stick. Nextiva lets you claim one that actually means something — your business name, a tagline, whatever makes sense for how you market yourself. People remember them after seeing an ad once, which is more than you can say for a string of random digits.

Toll-Free Numbers

Nobody wants to think twice before calling a business. With a toll-free number through Nextiva, that hesitation goes away — customers call, no charge on their end, no friction. It’s a simple thing that makes a real difference, especially if your customers are spread across different regions.

Real-Time Reporting

Instead of reviewing yesterday’s numbers this morning, Nextiva shows you what’s happening right now. Call volume, agent availability, how campaigns are performing — it’s all there live. That means when something’s off, you can actually do something about it before the day’s over.

Professional Recordings

Most people form an opinion about a business within the first few seconds of calling. Nextiva works with Snap Recordings to give you access to real voice artists who record your greetings and IVR prompts properly — not a rushed office recording that sounds like an afterthought.

Interactive Voice Response (IVR)

Nextiva’s IVR lets callers just say what they need rather than guess which number on a menu gets them closest. It’s built on technology from Google and IBM, so it actually understands conversational language. Callers get to the right place faster, your team deals with fewer misdirected calls, and hold times drop.

Call Recording

Being able to go back and listen to a call is more useful than most teams realize until they actually start doing it. Nextiva records calls automatically or on demand — whatever fits your setup. Those recordings come in handy for training, handling disputes, staying compliant, and spotting patterns you’d otherwise miss.

Call Analytics

Nextiva breaks down your call data in ways that are actually actionable — not just totals, but the details that tell a story. When are calls getting abandoned? Which agents are handling volume well? How long are people waiting? You can pull standard reports or set up your own, and have them delivered on a schedule so you’re not chasing the numbers down manually.

Inbound Call Tracking

Nextiva ties call activity to real outcomes so your team knows more than just how many calls came in. You can see which marketing channels are actually driving phone calls, where hold times are climbing, and how fast calls are being picked up — the kind of detail that helps both your marketing and operations teams make smarter calls (literally and figuratively).

Call Filtration

Not every incoming call deserves the same treatment, and Nextiva’s screening tools let you set those rules yourself. Route by caller ID, apply different handling outside business hours, or make sure your most important contacts never end up waiting in a general queue. It keeps your team’s attention where it matters.

Automatic Call Distribution (ACD)

Nextiva’s ACD looks at who’s available, what they’re skilled in, and what the caller needs — then makes the connection. It’s a step up from basic call routing because it actually accounts for fit, not just availability. Callers spend less time waiting and get transferred less often, and your team works at a more manageable pace.

API and Third-Party Integrations

Nextiva fits into the stack you already have. It connects directly with Salesforce, HubSpot, Zendesk, Microsoft Teams, Google Workspace, and a range of other tools your team uses day to day. If you need something more custom, the API is there for your developers to build on top of.

What Do Customers Say About the Nextiva?

g2.com

Positive reviews:

“I like the accessibility of Nextiva and how I can use it anywhere I am. With the ability to access our phones anywhere, I can work wherever I am and access messages. It’s helpful to be able to work when I can versus being tied to a certain location. The initial setup was easy and simple. Directions were clear and easy to follow.” – Rae – North Center S. ⭐⭐⭐⭐⭐ February 13, 2026

“I like how Nextiva allows me to answer members’ questions reliably. It’s dependable, so I always know it will work, allowing my day to flow smoothly. I also appreciate how easy the initial setup was for my team.” – Taylor P – L. ⭐⭐⭐⭐⭐ February 13, 2026

Negative reviews:

“I’ve been a loyal Nextiva customer for over four years, and this is how they chose to treat me on the way out. When I recently tried to cancel, I was hit with an early termination fee because, unbeknownst to me, my account had been auto-renewing into one-year contracts, without my consent. At no point did I authorize these renewals, sign off on them, or receive proper notification. I was shocked to learn I was being held to terms I never explicitly agreed to. Their justification? A vague clause buried in their Terms & Conditions (which were linked in a 2019 contract. No clear disclosure. No affirmative consent. No reminder emails. Nothing that would hold up under California’s strict automatic renewal laws. Nextiva’s practices are not only deceptive — they may also be illegal. I’ve already filed formal complaints with the California Attorney General, the FTC, and the BBB. I’ve also notified my network of fellow business owners and professionals to steer clear. Bottom line: If you’re a small business trying to build something honest, don’t tie yourself to a company that plays games like this.” – Julie A. ⭐☆☆☆☆ May 14, 2025

“Nextiva has terrible connection while using it on a cell phone and every single call I have says poor network connection and people cannot hear me or the call drops. The whole point of having it was specifically not to be tied to a desk but unless you’re at a computer, it’s very difficult to use. My work around is to transfer each Nextiva call that I make or answer to my personal cell carrier after I’ve answered the call or made the call.” – Verified User in Law Practice ⭐☆☆☆☆ April 25, 2025

Positive reviews:

“We have had a good experience with the operation of our phone system. The software is easy to set-up, call clarity is good, we also use the remote features.” – Marketing Manager ⭐⭐⭐⭐⭐ August 4, 2025

“The customer support team has been phenomenal! I use the chat and get help within minutes, they also give me great tips and tricks!” – Operations Manager ⭐⭐⭐⭐⭐ July 17, 2024

Negative reviews:

“We’ve been with them for about 4 years. The actual phone service is fine for the most part. The mobile apps can be a little wonky but are pretty good. Tech support can be hit or miss but is generally pretty good. However, the customer service is the absolute worst, which is why I am giving them 2 stars. It honestly eclipses all the good points above. Our rep can takes weeks to respond. They’ve consistently overbilled us for extensions we asked to shut down a year ago. Our rep says he’s “talking to his manager” but never gets back to us and just runs interference. They require constant pressure to get anything changed. They also have some unsettling business practices. At the end of your 3 year contract if you don’t proactively switch to an annual contract, like almost all reputable companies do automatically, you will go right into another 3 year contract with whatever equipment and lines you originally signed up for. They definitely do not have your back and take a more predatory approach to their clients. At least that’s how it’s been for us.” – Manager of IT Services ⭐⭐☆☆☆ August 22, 2023

“Overall is mild! I had thought that the VOIP service was well priced but other than some features that are not available in the VOIP the CRM falls short.” – Pres/CEO ⭐⭐☆☆☆ March 9, 2022

Positive reviews:

“The biggest benefit for me personally (in my position of Quality Assurance) is the availability to monitor what everyone is doing across our 15 locations using the Nextiva App, reporting and supervisor dashboard.” – Cullen D. ⭐⭐⭐⭐⭐

“Nextiva offers a wide range of communication services, including VoIP (Voice over Internet Protocol) phone systems, video conferencing, team collaboration tools, and more.” – Amber R. ⭐⭐⭐⭐⭐

Negative reviews:

“Mistakes happen but you can’t be a company offering a mission critical product that only partly works, not thoroughly test updates for issues, and not fix issues with urgency.” – Kris S. ⭐☆☆☆☆

“There is not an out if you are oversold licensing by their sales team. If you are oversold licenses by their sales team, they will try to ping you with an early removal fee. Upon seeing this we went rounds and rounds with account managers to get the extra licensing we were told we needed by the sales team removed.” – Jamie J. ⭐☆☆☆☆

Positive reviews:

“It is really felt in the every detail that the company cares about its customers as well as about its employees to the same best possible extent.” – Anonymous employee ⭐⭐⭐⭐⭐ February 20, 2026

“Great culture and great competition! Great people to work with and for!” – Sales manager ⭐⭐⭐⭐⭐ January 27, 2026

Negative reviews:

“Layoffs multiple times a year. Hard to believe anyone is even left there. In every department. Was told we were “safe” and then laid off within a month. Recycling the same product that hasnt worked. Slow product adjustments. Dev doesn’t seem to be in synch with people who would use the product.” – Anonymous employee ⭐☆☆☆☆ January 3, 2026

“Zero direction. Flawed product meant for smaller business. Terrible leadership, expectations based on company product and tools make it impossible to reach unreasonable quotas. Non stop churn and terrible compensation packages.” – Team leader ⭐☆☆☆☆ January 12, 2026

“I really appreciate the text feature and the convenience of using the Nextiva application on both desktop and mobile devices.” – Monica C. ⭐⭐⭐⭐⭐ November 2025

“Have used Nextiva for years. Faxing. Voicemail. Texting. A one stop shop that we use daily. I can’t imagine operating our business without it.” – Ginna G. ⭐⭐⭐⭐⭐ July 2025

Negative reviews:

“Extremely poor customer support. No one seems to know what they are doing. One thing they are good at is passing the buck to several people and never getting a concrete resolve in the issue of the SMS registration.” – Gilbert M. ⭐☆☆☆☆ May 2025

“Horrible customer service. No one could take care of multiple things. You have to be transferred multiple times with long hold time. Took them over 3 months, couldn’t get our 10DLC done. Took our next provider 2 weeks. They had no follow up.” – Michael B. ⭐☆☆☆☆ February 2025

Positive reviews:

“The system is 10x better than our older phone system with advanced features and ease of use. The onboarding team was very professional and personable making our transition from our old system to Nextiva very smooth.” – Al Santos ⭐⭐⭐⭐⭐ February 20, 2026

“Mario helped me out big time. I know this isn’t his job, but he took the time. I tried to call support and was on hold for an hour never connected with anyone.” – Josh Raney ⭐⭐⭐⭐⭐ February 20, 2026

Negative reviews:

“I have had issues with my business phone for over a month and have had to wait for customer service for over 4 hours each time I call.” – Tiponya Gibson ⭐☆☆☆☆ February 12, 2026

“They said we would be ported by a date, never was ported and confirmed weeks later by sending fax with old carrier, told them to cancel the port, they confirmed the cancelation, then we canceled service with nextiva and they ported our number 30 minutes later, now trying to get someone to respond to us about getting our number back, no response from billing or the SALES REP that originally sold us the plan. Called help line on hold for over 40 minutes had to finally hang up. Editing 2 days later after their response “I’m really sorry this happened, especially given how time-sensitive number porting is. I have your account information and our team will be reaching out directly to help get this addressed.-Mackenzie @ Nextiva” NO ONE HAS REACHED OUT TO ME, NO ONE HAS ATTEMPTED TO OFFER A SOLUTION TO OUR ISSUE.” – Artemus Huhn ⭐☆☆☆☆ January 13, 2026

trustradius.com

Positive reviews:

“Nextiva is our phone system we use, we use the headset for calls and also utilize to manage our calls centers and phone calls virtually through the application. It addresses all calls and voicemails in one place. It will email you voicemails and makes it versatile on the go. Our scope is having multiple offices with multiple departments.” – Verified User ⭐⭐⭐⭐⭐ August 22, 2024

“We needed a solution for a round-robin call center with multiple funnels (sales, support, enterprise, etc). Nextiva has been the perfect solution for us, as we tried a competitor and it was lacking the features we needed. Nextiva has been fully transparent about pricing, product, and level of support, and we couldn’t be happier!” – Verified User ⭐⭐⭐⭐⭐ July 24, 2024

Negative reviews:

“We use Nextiva for our phone lines. It’s the worst. Calls drop, don’t connect, we are overcharged, there is no price matching, no help by customer service, sold an oversized product for literally 3 employees when all we ever needed was a call queue, reporting, and call recording first in first out. I DO NOT recommend this product for any business. The service is garbage, they used recycled numbers where you business shows up as spam. They gave one of my employees a new number that was already assigned to another business. He had 50 new leads on his contact list, had to provide a new number the. Lost all of his leads that he spent some time on gathering. All of his research was out the door. This company and product are snakes and you should avoid at all cost!” – Tim Krueger ⭐☆☆☆☆ October 10, 2025

“In our experience, could not provide the services we signed a contract for. 3 months of working sometimes over 3 hours per phone call for them to get it right and they couldn’t. However, in our experience, they refuse to refund out money for services they could not provide. We tried for over 3 months, and their routing errors caused company cross over calls that were detrimental to our company.” – Sharon Frye ⭐☆☆☆☆ July 14, 2025
